Growth comes from knowing your numbers and acting on them regularly. This rhythm works for most shops.
Every sale
- Bill everything through PMS, including credit sales, so no item or taka goes unrecorded.
Every purchase and expense
- Record it the same day, with the supplier or category: “New purchase” in Purchases, “Add expense” in Expenses.
- Then cost, stock and profit stay true.
- When you put your own money in or take some out, use “Put cash in” or “Took cash out” on the Dashboard.
Every evening
- Count the cash box and use “Count the drawer” on the Dashboard.
- A difference found today is easy to explain; one found next month is not.
Every week
- Review the Credit book, send reminders to customers with older dues, and set limits for slow payers.
- Check the “Running low” and expiry lists.
- Send the reorder list to suppliers. It is grouped by who supplies each item.
Every month
- Read profit and loss in Accounts: the sales trend, the margin and where the expenses went.
- Compare with last month. The notes in Expenses point to costs that grew or were missed.
- Do a stock count with “Count” in Products & stock to catch damage, theft or loss early. Record damage or loss with “Adjust stock”.
As you grow
- Add staff with only the permissions they need.
- Use shifts when you have several counters.
- Save the books as PDF or Excel for your accountant, bank or investors.
